How to Build a Custom GPT for Your Business in 20 Minutes

Custom GPTs are the single best per-dollar AI feature ChatGPT has shipped for small business. They cost nothing extra if you have a Plus or Team subscription. Setup takes about 20 minutes. Most owners haven't built one yet because the documentation makes it sound more complicated than it is.

What a custom GPT actually is

It's a saved version of ChatGPT pre-loaded with your specific instructions and reference documents. Instead of pasting context every time you use it, you set the context once and call the saved GPT whenever you need that specific job done.

The most useful pattern for small business is one custom GPT per recurring written task — quotes, customer emails, SOPs, social posts, product descriptions, whatever you find yourself drafting the same way over and over.

Format every quote as:
- Project summary (2-3 sentences in plain language for a homeowner)
- Scope of work (bullet list)
- Three pricing tiers (Good / Better / Best) with the middle option as the recommended choice
- What's included
- Timeline estimate
- Standard terms

Pricing rules:
- Labor markup: [X%]
- Materials markup: [Y%]
- Minimum job: $[Z]

Tone: practical, plain language, no contractor jargon. Always end with one line about scheduling.

Step 4 (3 min): Upload 2-3 of your past quotes as Knowledge files. PDFs or text files. Keep prices intact in the examples — the GPT learns your pricing patterns.

Step 5 (1 min): Save. Pin it to your sidebar.

Now any new job description gets pasted in, the GPT drafts a complete quote in your house style, you eyeball for 60 seconds, send.

What to build first

A word on the alternatives

You don't strictly need ChatGPT. Anthropic's Claude has Projects (similar concept). Google Gemini has Gems. They all do roughly the same thing.
