The full checklist

Twelve tools with genuinely free tiers, plus four to skip. Use what fits, ignore the rest. We'll also email you a copy.

1. ChatGPT (free tier)

Free · drafting and Q&A

The free tier of ChatGPT is enough for most owner-operators. The limits on GPT-4/GPT-5 access are real but generous enough for daily drafting. What you give up vs. Plus: custom GPTs, advanced voice. What you keep: 80% of what most owners actually need.

Verdict: Start here. Don't pay until you actually hit limits.

2. Claude (free tier)

Free · long-form writing and contract review

Anthropic's Claude has surprisingly generous free limits. Better at long-form writing and document review than free ChatGPT. Worse at image generation (it doesn't do images). Best for drafting longer documents, reviewing contracts, anything where you want a more measured tone.

Verdict: Use alongside ChatGPT — different strengths, both free.

3. Google Gemini (bundled with Google account)

Free · in-app AI assistance

If you have any Google account, you have Gemini. Useful for in-app suggestions inside Gmail, Docs, Sheets — even on the free tier. Best for small Google Workspace users who want AI without leaving their existing tools.

Verdict: Already paid for. Turn it on.

4. Google Voice (truly free phone line)

Free · auto-text on missed calls

Free US phone number, free voicemail-to-text, free auto-text on missed call. The auto-text-on-missed-call feature alone catches roughly 60% of after-hours leads that would otherwise die in voicemail. Replaces a $20-50/month phone line entirely for solo operators.

Verdict: This is the single most underused free AI feature in small business.

5. Loom (free tier)

Free · 25 videos, 5-min limit each

Up to 25 videos with auto-transcription on the free tier. Good enough for most SOP-creation use cases. Combine with ChatGPT to turn screen recordings into written SOPs in under 25 minutes per task.

Verdict: Best free tool for documenting how-to processes.

6. Cal.com (open-source, free)

Free · appointment booking

Calendly's open-source alternative. Free unlimited 1:1 bookings, free integrations with Google Calendar and Outlook. Paid tiers exist but the free version covers what most solo operators need.

Verdict: Use this instead of paying for Calendly.

7. Make.com (free tier)

Free · 1,000 operations/month, multi-step automations

1,000 operations/month, multi-step scenarios. Better than Zapier free for almost any real-world use case. Most small businesses can build 4-6 useful automations on the free tier.

Verdict: The free automation tool that's actually useful at the free tier.

8. Zapier (free tier)

Free · 100 tasks/month, single-step zaps

100 tasks/month, single-step zaps. Limited but enough to test if automation makes sense for your workflow before paying. Most owners outgrow the free tier within 2-3 months.

Verdict: Use to test the concept; switch to Make.com once you outgrow.

9. Notion (free for personal use)

Free · wiki, SOP library, project tracker

The free Notion tier includes AI features (limited credits but real), unlimited pages, and unlimited blocks. Good enough for an internal wiki, SOP library, or simple project tracker.

Verdict: Free tier is enough for most under-10-person businesses.

10. HubSpot CRM (free forever)

Free · CRM up to 1M contacts

The free CRM tier is real — not a trial. Up to 1 million contacts, basic deal tracking, email tracking, basic reporting. Perfect starter CRM for a small business. Paid tiers add automation and reporting depth, but the free tier is enough to start.

Verdict: Free CRM that actually works at the free tier.

11. Canva (free tier)

Free · graphics, social posts, marketing collateral

For business owners who need to make social posts, simple graphics, or basic marketing collateral without paying a designer. The free tier is fully usable; paid adds team collaboration and brand kits.

Verdict: Free tier covers 90% of small-business design needs.

12. Otter.ai (free tier)

Free · 300 minutes of transcription per month

300 transcription minutes per month. Good for recording meetings, sales calls, or audio notes for later AI processing. Enough for solo operators with low meeting volume.

Verdict: Free tier is enough if you have under 6 meetings a week.

The 4 to skip (for now)

"AI website builders"

The free tiers are heavily restricted. The paid versions overpromise. Wait six months for the category to mature, or just hire a human to build a one-page site for $500.

"AI video generators" (free tier)

Quality is still mediocre at the free level. The 90 seconds you save on video generation gets eaten by the time you spend re-recording the AI-mangled parts. Wait six months.

"AI sales agents that fully replace your SDR"

No free tier worth using. The paid versions overpromise. The honest version is "AI helps your existing SDR" — and that requires paying for ChatGPT Plus, not a dedicated sales-agent tool.

AI consulting retainers under $5M revenue

Most $3-5K/month AI consulting retainers don't pay back at this revenue scale. Buy a one-time written assessment and implement DIY using it as a blueprint. Costs 1/10th and produces the same outcome.
