Know what the IRS actually needs on file
For a purchase or expense, the supporting document has to show the payee, the amount paid, proof of payment, and the date incurred, plus enough description to show it was for the business. Electronic records are fine: the IRS states that all requirements applying to hard copy books and records apply to electronic records too. So a photo in QuickBooks counts, as long as it is legible and attached to the right transaction.
Turn on the mobile app for paper
In the QuickBooks mobile app, open the menu and choose Receipts, then photograph the receipt. The app extracts vendor, date and amount, and the receipt lands under Bookkeeping, then Receipts for review. This is the right path for fuel, parts counter runs, and lunch. It is one at a time, with no batch capture, so it works because the tech does it in the truck, not because you do a stack on Friday.
Set up the forwarding address for emailed receipts
Go to Bookkeeping, then Receipts, then Forward from email. QuickBooks shows a custom address for your company file, ending in @qbodocs.com or @assist.intuit.com depending on the account. Use the exact one it shows you, not the one in an article. Forward supplier and software receipts there and they land in the same review queue.
Authorize the people who will forward
Only an admin can enable forwarding, under Receipts, Manage forwarding email. Toggle on each user who needs it. They need at least standard permissions with vendor access, and each person registers one email address per company. Mail from an address you have not authorized gets ignored, which is the most common reason a forwarded receipt never shows up.
Respect the file limits, they are strict
PDF, JPEG, JPG, PNG or GIF, between 46 KB and 20 MB, one receipt per file. The 46 KB floor is the trap: a small cropped screenshot silently never appears. HEIC, the iPhone default, is not supported, so set your phone camera to Most Compatible or export as JPEG before forwarding.
Clear the For Review queue weekly and match to the bank feed
Nothing is booked until you review it. QuickBooks compares the extracted vendor, amount and date against open bank feed transactions and suggests a match. Accept the good ones, fix the rest. Cash receipts have nothing to match against, so those become new transactions you enter by hand.
Do not expect line items
QuickBooks extracts header-level data only: vendor name, date, total, and the last four digits of the card. Line items, SKUs, quantities and per-item tax are not captured. If you need job costing at the part level, you either key it in or you add a dedicated extraction tool such as Dext or AutoEntry on top.
Where this goes wrong
The parts most guides skip, and the ones that actually cost you money:
- Assuming the receipt is booked once it is in QuickBooks. It sits in For Review until a human accepts or matches it. A full review queue is not bookkeeping, it is a pile with better lighting.
- Small files vanishing. Attachments under 46 KB do not appear in the review flow, and nothing tells you. If a forwarded receipt never showed up, check the file size first.
- Forwarding from an unauthorized address. Each user registers one email per company and has to be toggled on by an admin. Forward from your personal Gmail when only your work address is registered and it disappears.
- iPhone HEIC photos. Not a supported format. Change the camera setting once and stop losing receipts to it.
- Expecting OCR to do your job costing. Only header fields come across. If your estimate-versus-actual depends on part-level detail, native receipt capture will not get you there.
- Skipping receipts under $75 and assuming you are covered. IRS Publication 463 requires documentary evidence for travel, meal, gift and car expenses of $75 or more, and lodging at any amount. You still have to prove amount, time, place and business purpose for everything, and records are supposed to be kept as the expense happens. Capturing everything is simply easier than deciding case by case.
