How to do it
Understand what you're actually losing
62 percent of small business calls go unanswered, and 78 percent of customers go with the first company that responds. A lead that reaches you in 5 minutes closes at about 32 percent; wait 24 hours and that halves to around 15 percent. The evening lead you never texted back didn't wait for you, they called the next name on the list.
Have ChatGPT write two messages, not one
Ask for two short auto-replies: an evenings version and a weekend version. Each should say your name, that you got their message, when you'll get back to them, and what to do if it's an emergency. Keep both short. Tell ChatGPT to match how you actually talk, not sound like a corporate script.
Include the four things an after-hours reply needs
Your business name, acknowledgment that you saw it, a clear response time ('first thing tomorrow' or 'by Monday'), and an emergency path. Example: 'Thanks for reaching out to [Company]. We're closed for the night but got your message and will call first thing tomorrow. Emergency? Reply URGENT.'
Put the messages in a tool that sends on a schedule
ChatGPT does not send anything. Load the two messages into a texting or phone tool that can auto-reply on a time schedule, one message for after 5pm on weekdays, one for weekends. Set the hours once. Now every after-hours lead gets an instant reply while you're asleep.
Do the clean morning handoff
The goal is not to work all night. It's instant response, light acknowledgment, and a real callback in the morning. Make sure the overnight texts land somewhere you actually check at 7am so nobody who reached out at 9pm gets forgotten by 10am.
Read the replies back yourself before trusting it
Have ChatGPT show you both messages, then read them out loud. If either sounds like a bot or over-promises a response time you can't hit, fix it. An auto-reply that says 'within the hour' at midnight and then goes silent is worse than none.
Where this goes wrong
The parts most guides skip, and the ones that actually cost you money:
- Relying on voicemail after hours. Most people don't leave one; they call the next contractor. A text is what holds the lead until morning.
- One generic message for all hours. An evening lead and a Saturday lead need different response-time promises. Write two, or the promise is wrong half the time.
- Promising a callback you can't make. 'We'll call within the hour' at 11pm sets you up to fail. Promise the morning and actually do it.
- No emergency path. For trades, some after-hours calls are real emergencies worth the night rate. Give them a way to flag it instead of losing an urgent, high-value job.
- Letting overnight leads pile up unseen. The auto-reply buys you until morning. If the messages land somewhere nobody checks, you still lose them by lunch.

Common questions
Does ChatGPT send the texts?
No. It writes the two messages. A texting or phone tool sends them automatically on your schedule. ChatGPT is the copywriter, not the phone line.
How many after-hours messages do I need?
Two is usually enough: one for weekday evenings and one for weekends, since the response-time promise differs. Add a holiday version if you close for stretches.
What should the after-hours message say?
Your name, that you got their message, a realistic callback time, and an emergency path. Short and human. Do not promise a response time you cannot keep.
Why not just let it go to voicemail?
Because 62% of calls go unanswered and most people never leave a voicemail, they call the next business. An instant text keeps the lead with you until you can respond for real.
